Job Overview:

Xyntek is seeking entrepreneurial, dedicated, and motivated employees that are interested in joining a fast-paced <w:sdt docpart="268C6644F87440AC9D09F529D4FF8DDF" id="900329767">Operations & Finance</w:sdt> Team involved in multiple levels of company administration, operations, and accounting support.  The ideal candidates will be knowledgeable in common accounting principles, standards, and procedures and will be familiar with accepted ways of recording and reporting accounting information.  The candidates will also support other functional areas that add value to the organization?s ability to operate effectively, efficiently, and with constant improvement.  The candidate should be innately detailed oriented, organized, and data-driven, but with getting the right things done pragmatism.  In this role, the candidate can expect to experience a wide variety of functional activities and will have opportunities to excel in many areas outside of the primary focus.

Responsibilities and Duties:

Accounting Responsibilities:

  • Knowledge of principles and processes for providing customer and personal services;
  • Perform financial calculations, such as amounts due, interest charges, balances, discounts, equity, and principal;
  • Reconcile or note and report discrepancies found in records;
  • Maintain and determine records of assets, liabilities, profits and loss and tax liabilities;
  • Posting and processing journal entries;
  • Updating accounts receivable and issues invoices;
  • Updating accounts payable and performing reconciliations;
  • Prepare itemized statements, bills, or invoices and record amounts due for items purchased or services rendered;
  • Perform bookkeeping work, including posting data or keeping other records concerning costs of goods or services or the shipment of goods;
  • Review timesheets, work charts, wage computation, and other information to detect and reconcile payroll discrepancies;
  • Compile employee time, production, and payroll data from timesheets and other records;
  • Verify the accuracy of billing data and revise any errors;
  • Update and maintain department and project-based expense records including reconciliation activities (employee expense report review, cost reporting, etc.).

Operations Responsibilities:

  • Perform buying duties when necessary;
  • Prepare purchase orders and send copies to suppliers and to departments originating requests;
  • Compare suppliers' bills with bids and purchase orders to verify accuracy;
  • Prepare, maintain, and review purchasing files, reports, and price lists;
  • Check shipments when they arrive to ensure that orders have been filled correctly and that goods meet specifications;
  • Prepare and review operational reports and schedules to ensure accuracy and efficiency;
  • Acquire, distribute and store supplies;
  • Monitor suppliers to ensure that they efficiently and effectively provide needed goods or services within budgetary limits;
  • Arrange and support Engineering department employee travel activities;
  • Vendor and Client relationship management;
  • Provide support to executive staff, management, and engineers;
  • Answer phone calls, emails, and greet visitors;
  • Scheduling of appointments and interviews;
  • Creating project documentation, employee onboarding documentation, etc.;
  • Moderate Data entry and cost analysis;
  • General office clerical duties;
  • All other duties as assigned.

      Qualifications:

      Preferred Technology Software Skills (or Similar):

      • Accounting software (Intuit QuickBooks, FreshBooks, Xero, Wave Accounting, Zoho Books, Oracle NetSuite, Odoo, Deltek, Sage Intacct, Sage 50);
      • Business intelligence and data analysis software (Tableau, UltiPro, Power BI, NetSuite, Magento, ActivTrak, Bitrix24, Zoho Analytics, Grow, IBM Cognos Impromptu);
      • Compliance software (CRSTL, eDP;Payrolltax, Paisley Cardmap);
      • Customer Relationship Management CRM software (Salesforce, Mailchimp, Zoho CRM, Dynamics CRM, HubSpot CRM, Pipedrive, Monday.com, Nimble, Airtable, Marketing360, Sage ACT!);
      • Database Management software (SQL Server, MySQL, Airtable, Oracle Database, PostgreSQL, SAP HANA, Quick Base, Amazon RDS, Ninox, Microsoft Access, Sage 100 Contractor, Yardi);
      • Enterprise resource planning ERP software (Microsoft Dynamics, Oracle JD Edwards EnterpriseOne, Sage 100 ERP, SAP, NetSuite, Bitrix24);
      • Human resources software (Zoho People, Bamboo HR, ADP Workforce Now);
      • Presentation software (Microsoft PowerPoint, Google Slides);
      • Project management software (Microsoft Project, Microsoft SharePoint, Zoho Project, Primavera).

      Qualifications:

      • High school diploma or equivalent required. Bachelor?s degree preferred;
      • At least 3 years of administrative experience in a corporate environment;
      • Experience working with financial documents;
      • Excellent organizational skills;
      • Ability to multitask and prioritize duties;
      • Ability to communicate to prospective employees, Senior management, clients, etc.;
      • Strong spreadsheet skills and technical aptitude.
