Junior Training Assistant

Dynamis is seeking a Junior Training Assistant to support the Homeland Security Acquisition Institute (HSAI) . HSAI is the primary unit responsibly for training and developing the acquisition staff for the U.S. Department of Homeland Security?s (DHS). To accomplish this mission, HSAI runs a schoolhouse in Washington DC and runs several programs designed to professionalize the DHS acquisition workforce.

This position shall provide daily administrative support to the HSAI schoolhouse to include setting up the classrooms, greeting students and faculty, ordering supplies for the classrooms and assisting the other members of the contract team where necessary.

Responsibilities

  • Reserve and prepare classrooms: organizing training materials (including duplication and/or photocopies, preparing name tents, door signs, etc.), submitting service requests, and assisting in basic logistical arrangements, running reports, and providing general administrative support to students, instructors, and guest speakers
  • Maintain a close and highly responsive relationship to the day-to-day activities of the schoolhouse staff
  • Work independently receiving a minimum of detailed supervision and guidance
  • Perform various clerical and secretarial duties requiring knowledge of office routine and an understanding of the organization, programs, and procedures related to the work of the office
  • Carry out recurring office procedures independently and selects the guideline or reference that fits the specific case
  • Receive specific instructions on new assignments and ensure completed work is checked for accuracy
  • Respond to routine telephone requests that have standard answers
  • Refer calls and visitors to appropriate staff
  • Informing concerned parties about the training
  • Ensuring that the training venue is booked and ready for the training session
  • Ensuring that the training material is up-to-date
  • Printing out training support materials
  • Helping training manager or trainer to create training support materials
  • Providing general administrative assistance to training managers and trainers
  • Handle any other task associated with organizing and scheduling training sessions
  • Handing out feedback forms and collecting them
  • Control mail and assure timely staff response and send form letter
  • Maintain recurring internal reports such as time and leave records, office equipment listings, correspondence controls, and training plans
  • As instructed, maintain calendars, make appointments, and arrange for meeting rooms
  • Responsible for setting appointments and arrange meeting rooms
  • Maintain requisition supplies, printing, maintenance or other services
  • Provide general administrative support to students, instructors, and guest speakers
  • Other duties as assigned

Position Requirements

  • Bachelor?s Degree
  • 1-3 Years of experience in a similar field
  • Must be a U.S. citizen as well as be able to obtain DHS Suitability
  • Microsoft Office Suite of Products
  • SharePoint experience
  • Be able to lift >50 lbs. as this position is responsible for moving classroom furniture, supplies, and materials.
  • Ability to multi-task
